Terms & Conditions
1. Who we are and scope
These Terms & Conditions (“Terms”) govern the use of this website and the provision of services by Helvetia Education Group W.L.L. (“Helvetia”, “we”, “us”) to clients (“you”, “the Client”). By engaging our services or paying an invoice you accept these Terms. Specific engagements are further governed by a written engagement letter or proposal (“Engagement Letter”), which prevails over these Terms in case of conflict.
2. Our services
Helvetia provides international education consultancy and related support services, including school and university selection, academic planning, application preparation and management, visa and relocation coordination, guardianship coordination, family concierge services (Helvetia Privé) and annual membership services (Helvetia Elite). The exact scope of each engagement is described in the Engagement Letter.
2.1 No guarantee of admission
Admission decisions are made exclusively by schools, universities, programmes and authorities. Helvetia does not and cannot guarantee admission, scholarships, visas, permits or any specific outcome. Our obligation is one of professional care and diligence, not of result.
2.2 Regulated services
Helvetia is not a bank, insurer, law firm, immigration agent, medical provider or licensed financial adviser. Where a family requires such services, Helvetia acts solely as a coordinator and introduction point to independently licensed professionals. Any such professional contracts directly with you under their own terms, and Helvetia is not responsible for their advice or services.
2.3 Institutional relationships
Helvetia may hold representation, referral or partnership agreements with educational institutions. Where such an arrangement is relevant to advice given to you, it will be disclosed on request.
3. Client obligations
- Provide accurate, complete and timely information and documents. Helvetia is not liable for consequences of inaccurate or late information.
- Ensure that all documents submitted are genuine. Helvetia will not participate in any application containing false information.
- Meet deadlines communicated by Helvetia and by institutions.
- Pay all third-party costs directly or reimburse them: school and university fees, application and registration fees, testing fees, government and visa charges, translations, legalisations, travel, accommodation, insurance and similar.
4. Fees, invoicing and payment
- Fees are quoted in Swiss francs (CHF) and confirmed in the Engagement Letter. Indicative fees published on this website are for guidance only.
- Invoices are payable within 14 days of the invoice date unless the Engagement Letter states otherwise. Larger engagements may be invoiced in instalments; work on a stage may be conditional on payment of the corresponding instalment.
- Payment may be made by card through our payment service provider or by bank transfer in CHF, USD, EUR or BHD at the exchange rate stated on the invoice. Bank charges are borne by the payer.
- Helvetia Elite membership is an annual fee payable in advance and renews for further annual periods unless either party gives 30 days' written notice before the renewal date.
- Late payments may attract interest of 0.5% per month and suspension of services. Fees are exclusive of any applicable VAT or similar taxes.
- Cancellations and refunds are governed by our Refund Policy, which forms part of these Terms.
5. Confidentiality and data protection
Helvetia treats all information concerning a Client family as strictly confidential and discloses it only to institutions, authorities and professionals authorised by the Client, or where required by law. Personal data is processed in accordance with our Privacy Policy.
6. Intellectual property
All content on this website, including the Helvetia name, crest, texts and designs, is the property of Helvetia or its licensors and may not be reproduced without written permission. Documents prepared by Helvetia for a Client may be used by that Client for the purpose of the engagement.
7. Liability
To the fullest extent permitted by law, Helvetia's aggregate liability arising from an engagement is limited to the fees paid by the Client for that engagement. Helvetia is not liable for indirect or consequential loss, for decisions taken by institutions or authorities, for the acts or omissions of third-party professionals or providers, or for events beyond its reasonable control. Nothing in these Terms limits liability for fraud or gross negligence.
8. Termination
Either party may terminate an engagement by written notice. Fees for work performed up to termination remain payable, and refunds (if any) are determined in accordance with the Refund Policy. Helvetia may terminate immediately where a Client provides false information, fails to pay, or behaves in a manner incompatible with the relationship of trust on which our services depend.
9. Website use
This website is provided for information. While we take care to keep it accurate, information about institutions, fees, deadlines and regulations may change and should be verified. Links to third-party sites are provided for convenience only.
10. Governing law and disputes
These Terms and any engagement are governed by the laws of the Kingdom of Bahrain. The parties will first seek to resolve any dispute amicably; failing that, the courts of the Kingdom of Bahrain have exclusive jurisdiction, unless the Engagement Letter provides otherwise.
