Privacy Policy
1. Introduction
Discretion is the foundation of our work. This Privacy Policy explains how Helvetia Education Group W.L.L. (“Helvetia”, “we”, “us”) collects, uses, shares and protects personal data when you visit this website, contact us, or engage our services. We process personal data in accordance with the Bahrain Personal Data Protection Law (Law No. 30 of 2018) and, where applicable to our clients, the Swiss Federal Act on Data Protection (FADP) and the EU/UK General Data Protection Regulation (GDPR).
2. Data we collect
Provided by you
- Contact details: name, e-mail address, telephone number, country of residence, postal address.
- Enquiry and engagement information: details about your family and your child's education, current school, academic records, references, language levels, interests and goals.
- Documents required for admissions, visa and relocation processes: passports, identity documents, transcripts, certificates, medical or dietary information relevant to a school, financial documents required by institutions or authorities.
- Billing information: invoice details and payment confirmations. Card details are entered directly with our payment service provider and are never stored by Helvetia.
Collected automatically
- Technical data such as IP address, browser type, device, pages visited and referring website, collected through server logs and any analytics tools we may use. This website does not use advertising cookies.
3. Why we use your data
- To respond to your enquiry and arrange a private consultation.
- To provide our services: education consultancy, admissions management, visa and relocation coordination, concierge and membership services.
- To communicate with schools, universities, authorities and professional partners on your instructions.
- To issue invoices, process payments and keep accounting records required by law.
- To comply with legal obligations, including anti-money-laundering and know-your-client requirements.
- To operate, secure and improve this website.
Legal bases (where GDPR or FADP applies): performance of a contract or pre-contractual steps; compliance with legal obligations; our legitimate interests in running and protecting our business; and your consent, where we ask for it (for example, for children's data or special categories of data such as health information required by a school).
4. Children's data
Our services relate to the education of children. We process a child's personal data only on the instructions of, and with the consent of, a parent or legal guardian, and only to the extent necessary for the services requested.
5. Sharing your data
We share personal data only as necessary and only with:
- Schools, universities, examination bodies and programmes to which you apply, and immigration or other authorities where required for a permit or visa.
- Independently licensed professionals and partners we introduce at your request (for example legal advisers, insurers, banks, guardianship organisations, tutors, accommodation providers, transport providers). Each acts under its own terms and privacy policy.
- Service providers who support our operations under confidentiality obligations: payment processing (Tap Payments), e-mail and document hosting, website hosting, accounting.
- Authorities, courts or regulators where required by law.
We do not sell personal data and do not share it for third-party marketing.
6. International transfers
Because our families, institutions and partners are located in Switzerland, Bahrain, the European Union, the United Kingdom and elsewhere, personal data is transferred across borders in the course of our services. We take appropriate steps to protect such transfers, including contractual safeguards where required.
7. Retention
We keep enquiry data for up to 24 months if no engagement follows. Client engagement records are kept for the duration of the relationship and thereafter for the period required by Bahraini commercial and tax law (generally 10 years for accounting records). Documents no longer needed for the purpose for which they were collected are deleted or returned.
8. Security
We apply appropriate technical and organisational measures, including access controls, encrypted transmission (HTTPS), secure document storage and confidentiality obligations for all staff and partners.
9. Your rights
Subject to applicable law, you may request access to, correction or deletion of your personal data, object to or restrict certain processing, request portability, and withdraw consent at any time. To exercise these rights, write to info@helvetia-education.com. You may also lodge a complaint with the Personal Data Protection Authority of the Kingdom of Bahrain or, where applicable, with the data protection authority in your country of residence.
10. Cookies
This website uses only strictly necessary technical cookies and, if enabled, privacy-respecting analytics. You can control cookies through your browser settings.
11. Changes
We may update this policy from time to time. The current version is always published on this page with the date of the last update.
